Create "inactive" agency option

We would like to manage/sort our own agencies into two categories without negatively affecting our lifetime numbers/measurements – active and inactive. If any agency is technically inactive (i.e. no users from that agency have logged in within the last 18 months), our volunteers shouldn’t see them in any lists anyway. We certainly don’t want to totally delete “inactive” agencies because they may reactivate at some point in the future.

 

So, in an ideal world a few things would happen if we could “inactivate” an agency:

1. Fans, hours and responses data would not go away 

2. Users would no longer be able to see the agency 

3. Any “active” needs and events the agency had would automatically expire 

4. The agency could be reactivated in the future at which point all historical data would be restored 

5. Agency managers associated with that agency would lose their association BUT remain an active user of the site

Thanks for sharing! Below, I've given a quick overview of the current functionality of "deactivating" agencies. Deactivating agencies requires that their status has been changed to "Inactive".


1. Fans, hours and responses data would not go away 

  • When an Agency is deactivated, the site manager will be able to view their fans, responses, and the hours that have been logged to active needs. You can view these data points using the reports area of your site.
  • A user will be able to view any past responses or hours logged to a deactivated agency

2. Users would no longer be able to see the agency 

  • When an Agency is deactivated, the agency is removed completely from the front-end of your site and will not be accessible by volunteers (uses).

3. Any “active” needs and events the agency had would automatically expire 

  • When deactivated, an Agency's needs will be removed from both Manager and User views. There are still a few reports that can be used to access the deactivated agency's needs. If the agency is every reactivated, those needs are restored with the same status they were in before the agency was deactivated.

4. The agency could be reactivated in the future at which point all historical data would be restored 

  • This is the current functionality of reactiving Agencies.

5. Agency managers associated with that agency would lose their association BUT remain an active user of the site 

  • If an agency is deactivated, the agency manager is no longer able to access the agency manager panel, but continues to be a site user. If reactivated, they will then be able to log in and view their agency manager panel.


With this in mind, can you share a little bit more about how you are envisioning this enhancement? Would this be a report for only inactive agencies where you could see the above information in one place? I look forward to hearing more!

Well this changes everything. I was under the impression from other support staff at GalDig that nearly the exact opposite of what you're saying would happen. In fact, the GD dev team made the needs of 400+ agencies within our site all "private" because I thought deactiviating the agencies would remove the hours from volunteers' resumes. I am SO confused now. I prefer to visit about this via phone.


Who is the best person to speak to?

I received this message today when deactivating a need for an agency. This seems to contradict what you and Caitlin stated last week. Or am I misinterpreting the message below?
