Qualifications specific to user group

It would be nice to have certain qualifications be specific to a user group.  Currently, all qualifications set-up in the system are viewable to all users.  Sometimes, we have unique waivers for specific opportunities.  Being able to hide these for certain users, or make them visible only if the user is part of a certain user group would be helpful.

Oh, can you send it to me too please?!

Hi, Jessa,

You should receive an email from me shortly regarding some new options we have for your qualifications.

Hello,

Is there any update on adding a qualification that does not appear for every user? I have waivers I need certain user groups to sign and it would be incredibly helpful if I could assign them to specific user groups. The information in the waiver I need signed is confidential and we cannot have it visible to all of our volunteers.

Hi Cristy,

Awesome, thank you for confirming, Cristy! I have also added your vote towards this request for our team to consider.

Have a great weekend!

Hi Brooke,

Yes, that makes totally sense! After re-reviewing our current notes, this is actually what we have jotted down:

"As a site manager, when creating a qualification I would like to specify whether that qualification will appear in the "Qualifications" area of a user's profile or not so that I can prevent volunteers from completing qualifications that only apply to certain opportunities."

Current state: All qualification appears in every users profile

Desired state: Site managers have the option on the Create Qualification page to specify whether the qualification appears 1) On opportunities, 2) On the users profile, or 3) both.

I've added your vote to these notes in particular!

I would prefer, as a site manager, to choose which qualifications appear in users' profiles whether or not they have interacted with a need that requires them. Much like we can exclude some agencies from using certain qualifications.

Hi Brooke and Kayla,

Thanks so much for following up in our forum on this! This is a highly requested enhancement and we appreciate the further insights as to why and how this would benefits your use cases.

That being said, I have added your thoughts on this to our current notes in regards to a Site Manager's ability to specify whether a qualification appears in the Users profile. Overall, it sounds like it is preferred that the qualifications do not show within the user's profile to see until they have interacted with an associated need/opportunity those qualifications are linked to. That, or there be a better way to organize them within the user's profile itself to avoid confusion.

Thanks so much again for this information! It truly helps as we dig into what is needed for an enhancement such as this one.

Hi All,

I completely agree with the issue pointed out in this thread. We are trying to add multiple volunteer programs within a statewide agency onto the same Galaxy Profile and are finding it's impossible due to the number of qualifications that build up under user's profiles - most of which any individual user doesn't need! This led to a lot of confusion with users completing unnecessary qualifications or not completing the qualifications they actually need. We've had to revert back to having only one program use Galaxy Digital. What we desperately need is a way to organize the qualifications listed under the user's profile so that they can easily identify which qualifications they need to volunteer with a specific program.

Could Galaxy consider the following solution: allowing the option to categorize qualifications in the user's profile view so that they can open up individual categories of qualifications at a time, viewing only those that they need to?

For example, let's say that an organization has three programs: Red, Blue, and Green. Each relies upon volunteers, but each requires 10 completely different qualifications. If a volunteer wants to work with the Red program, they can choose "Red Qualifications" on a dropdown menu to view only the qualifications required for "Red". That way they can easily identify the qualifications of, and check their progress on the qualifications of, the "Red" program without having to sort through the qualifications for the "Blue" and "Green" programs.

First I must clarify that we are a Volunteer Center....

Similar to the original post in this thread...I created a new qualification and excluded all agencies except for one. This means they are the only organization that can apply this particular qualification to any of their needs. That part seems to work correctly.

But…..now we have random users completing this qualification because it’s visible in their profile. This particular qualification is very specific to this one organization and requires their staff to manually process/check a Texas Health Dept website. They don’t need to check ALL the users in our portal, only the ones who respond to their need. See what I mean?

So, the question is how do we block users from seeing/completing certain qualifications UNTIL they respond to a need that has applied the qualification?

Hi Lacey!

Hope you had a nice weekend. As a Site Manager, you are able to set a user's qualifications to "Not Qualified" or otherwise from within their user profile in Volunteerism > Users > Select User > Qualifications tab

Here is a piece of a larger article that goes into more detail on how to do this.

We have users that are completing court-ordered community service. Some are restricted to certain programs. I think if there was a way to set certain users to "not qualified" it would keep them from signing up.

I'd be interested in seeing an option for that added.

Yes Caitlin! That is accurate.

I have also recently hidden all qualifications from registration except for our Volunteer Consent form. I think this is helping a little bit.

Thank you!

Hi Christy,

Thanks for sharing your thoughts on this thread! This is somewhat different than what other folks have requested, so I want to make sure I'm capturing your request correctly. Here is what I'm hearing:

As a site manager, I would like to the ability to specify which qualifications should appear in the User's Profile, so that volunteer's won't feel obligated to complete qualifications that are only required for opportunities.

Does this sound like an accurate reflection of your request? Please let me know if there's anything I need to adjust!

All the best,

Caitlin
