Update Notification for "Need Participation Thank You - One Day After"

Hi all,


I would like the "Need Participation Thank You - One Day After" notification to be sent to people who actually attend rather than people who have a response. 


Many volunteers respond to an opportunity but end up not being able to attend, but they don't cancel their response. In these cases they still receive the notification even though they did not attend, how can we change this to be tied to their hours instead of their response?

Thank you for the addition! 


I'm sure you are aware of this, but in the meantime, I would recommend personalizing the "Need Participation Thank You - One Day After" to be more encompassing for both users that showed and those that may have no-showed. You are also welcome to add more insight in how folks can log their hours, if they did not check in when they volunteered, etc.

Just adding this recent email from a volunteer to reinforce our experience:


I say that because I have a “Thanks for Volunteering” email for each of those days I manually added hours. Since I received those emails, I assumed the hours would automatically be added. The email about reaching a benchmark aroused my curiosity of “how many hours”. Thank you.

In the interim, we may consider adjusting the notification language that in the event the volunteer was a no-show, it says something to the affect of, "We want to thank you for your volunteer commitment at {{agency_name}}'s opportunity {{need_title}}. If you were not able to join us today, we look forward to seeing you another time!" 


We considered disabling the notification but that surely wouldn't help us retain new volunteers if they didn't receive a thank you email after their shift. We also considered disabling the notification and instead sending a mass email at the end of the month once all hours are recorded and month end reports are provided to our finance team. The downside to this is that new volunteers will not be hearing from us in a timely fashion, thus, bad retention.


I hope these suggestions are helpful and look forward to a potential fix for this issue.

I wonder if we might be able to replicate this behavior for ongoing opportunities as well? The difference being that ongoing volunteers would receive the email the day after hours are entered for them.

Thanks for this. 


Yes, our organization tracks attendance based on hours entered. We simply have too many people who don't show up to their reservation to count responses as attendance. 


For the notification, it would be ideal to send the "Need Participation Thank You - One Day After" notification only if the hours are entered the day the shift is supposed to happen. If a volunteer enters their hours at a later date we would like them to not receive the email.

Good morning and thank you for adding your suggestion to the Forum! From my understanding, you would like this notification to only go out if a user responded to the Opportunity and also entered hours for that Opportunity. I wanted to confirm if you had a specific date range in mind--would users who enter their hours a few days or weeks after volunteering still receive the notification? Or, would they need to enter their hours within a certain timeframe for the notification to be triggered? 


There are a few different ways that I see organizes track who actually attended to volunteer.  It sounds like for your organization, attendance is marked by a response and entering volunteer hours. Does that sound right?
