This article is for all Connect Site Managers using the Advanced Events Module (AEM).
Agency and program managers who are participating in an advanced event will receive up to three different types of automated notifications related to the event:
- AEM: Invitation to Agencies
- AEM: Notification of Need Response
- AEM: Notification of Unregistered Volunteer
Note: For information on automated notifications, see Automated Notification Messages. For an index of all notification messages, see Index of Automated Notification Templates.
AEM: Invitation to Agencies
The "AEM: Invitation to Agencies" notification (previously titled "Advanced Events Application Send," or "DOC Application Send") is the invitation message that the Site Manager can send to agency and program managers for an advanced event.
It's important to note that this message is not triggered automatically. It is triggered when the Site Manager clicks to send an invitation to the desired participants.
Note for Site Managers Only: To send the invitation, click the Invite button, located in the Agencies area of your advanced event.
This message provides basic information about the event and invites the manager to begin submitting service projects as part of the event. The default message includes a link to the agency application.
By default, this template includes the following tags, or template keys:
Template Key | Description (Text that replaces the key in the message) |
to_firstname | First name of the recipient |
doc_title | Title of the advanced event |
doc_date_start | The date the event begins |
doc_date_end | The date the event ends |
agency name | Name of the agency or program being invited |
link | URL of the agency application page (not a hyperlink) |
site name | The name of your site, pulled from your Site Settings |
Note: Our default message states that an event will occur "from {{doc_date_start}} to {{doc_date_end}}". If you are inviting agencies to a single-day event, you may want to edit this text specifically for that event. (For example, you can write that the event "takes place on {{doc_date_start}}".)
AEM: Notification of Need Response
The "Notification of Need Response" message (previously titled "Agency Added New Need") is triggered when a volunteer responds to an advanced-event need. This message goes to the manager(s) of the agency the posted the need and informs them that they have a new need response.
By default, this template includes the following tags, or template keys:
Template Key | Description (Text that replaces the key in the message) |
need_title | Title of the need |
doc_title | Name of the advanced event |
link | Link to the agency or program's Advanced Events tab (in the Agency Management Area) |
need_description | The need description, as submitted by the person who submitted the need. |
user_fname | First name of the volunteer who responded to the need |
user_lname | Last name of the volunteer who responded to the need |
user_email | Email address of the volunteer who responded to the need |
site_name | Name of your site, pulled from Site Settings |
AEM: Notification of Unregistered Volunteer
This notification, previously titled "AEM Unregister Agency Notification," is triggered when a user unregisters from an advanced-event need. The message goes to the applicable agency or program manager(s) and informs them that someone is no longer signed up for the need. You have the option of having the unregistered user's first name, last name, and email address included in the notification.
By default, this template includes the following tags, or template keys:
Template Key | Description (Text that replaces the key in the message) |
to_firstname | Recipient's first name |
to_lastname | Recipient's last name |
to_email | Recipient's email address |
user_fname | Unregistered user's first name |
