A site may have one of three setups for volunteer hour submissions. These setups are selected in your site settings and apply to both regular need hours and individual hours (those not associated with a need). To specify settings for hours submission:

  1. From your site manager panel, go to Settings > Main Settings.
  2. Scroll down to the Approval area, located in the left-hand column of the Main Settings page.
  3. Specify your site's hours-submission requirements in the Hours Approval field.
    Options are described below:

    Volunteers must submit hours for approval
    A volunteer must go through a two-step process to submit hours: (1) Click to submit the hours, and then (2) click to verify the submission. Following this second step, hours are given a status of "Pending" and are sent to the agency manager for approval.
    Hours logged are automatically submitted for approval
    The volunteer only needs to click to submit their hours once; no additional verification is needed on the part of the volunteer. Hours are given a status of "Pending" and are then sent to the agency manager for approval.
    Note: We recommend using the default Hours logged are automatically submitted for approval setting, which is the most commonly used.
    Hours logged are automatically approvedOnce submitted, the hours are given a status of "Approved"; no action is required on the part of the agency manager.

  4. Click Update Settings.

Note: If a manager submits hours on behalf of a volunteer, the settings above do not apply. The system automatically marks those hours as "Approved."
