Busy, busy, busy! That’s the only way to describe an average day for a Site Manager, from coordinating needs to verifying volunteer qualifications. Approving qualified volunteers is an integral part of effective volunteer management. Therefore, it’s in the Site Manager’s best interest to regularly review new Qualification submissions that appear in the Pending Qualifications area. Once a volunteer is qualified, they can respond to the need/opportunity! 


NOTE: A message is sent to the Site Manager’s INBOX titled “Notice of Pending Items.” This email is automatically sent at 10:30 am every day, reminding the Site Manager of items that require their attention.


To View/Approve a Single User

Site Managers can view and Approve volunteers who submit Qualifications when responding to a need/opportunity:


1. Select MANAGER > VOLUNTEERISM > USERS.


2. On the Manage Users page, search or filter to find the volunteer, then click their name. From there, you can select the QUALIFICATIONS tab.


3. In the Complete Qualifications section, you will want to verify that the Qualification has been met. You can click on the VIEW WAIVER link to confirm that the Waiver has been signed. Or review an uploaded file by clicking on the FILE link. You can review all submitted Qualifications before making your decision.


4.  If the volunteer is qualified for the need/opportunity, click the dropdown menu under STATUS and select Qualified. The volunteer receives a Notice of Qualified Status message.


5. If the volunteer is not qualified for the need or opportunity, or submitted incorrect information, select Re-submit. The volunteer will receive a Notice of Resubmit Status message.


6. If the volunteer is not qualified, select Not Qualified.


7. In all cases, a Notice pop-up will appear. Click Okay to complete your selection.


To View/Approve Multiple Users

1. Click MANAGER > VOLUNTEERISM


2. If there are Pending items, there will be a number next to QUALIFICATIONS. Click the number. Alternatively, on the Manage Qualifications page, you can click the APPROVAL tab.


3. The Pending Qualifications page will show the users whose Qualifications approvals are Pending.


4. You can review all Qualification responses in the Responses column. 


NOTE: The above screen illustrates that a user has not obtained all the signatures necessary for the waiver. The site manager will contact the user to get this resolved.


5. Locate the Qualification associated with the user and click the dropdown menu under STATUS. Select Qualified. The volunteer receives a Notice of Qualified Status message. If the volunteer is not qualified, or they submitted incorrect information, select Re-submit. The volunteer will receive a Notice of Resubmit Status message.


6. If the volunteer is not qualified, select Not Qualified.


7. In all cases, a Notice pop-up will appear. Click Okay to complete your selection.
