Automated email for specific opportunities

I am finding that folks who sign up for our store orientations are often not bothering to read any of the information listed in the description (very annoying). One way I have found to help ensure they receive the needed information is by sending an email the day before, reminding them of what to expect, what to wear, where to go, etc. (again, it's all in the description, but I digress). 


It would be really helpful if there was a way to send out automated messages with more specific information about the opportunity than what we are able to put in the current "upcoming need reminder" emails.

Thank you for reaching out through the forum and expressing what would help your workflow! I’m sorry to hear that you’re having trouble with volunteers viewing the description field in your need. This can be very frustrating! 


I would like to suggest adding the additional information to the Comments field in the Opportunity and then adding the {{need_comment}} template key to some automated notifications. Adding the {{need_comment}} will pull the Comments field into the notification for the specific opportunity. 

 

Two notifications I suggest adding the {{need_comment}} template key to would be the “Need Response Thank you” Notification which is sent to volunteers when they respond to an opportunity/need and/or the “Upcoming Need Reminder” notification which reminds users one week before and one day before an opportunity/need they responded to begins. Between both of these notifications, it would give 3 reminders to the volunteer reminding them what to expect, what to wear etc. Here is example of how the template key would be added to the notification:

Is there a way to send a test to myself so I can know what this looks like? So far, I have not been able to find a way to do this.

Hi Miranda, 


There is not a way to send a test of an automated notification to review. The action would need to be done on the site and that triggers the response, to get it sent to you to see. 


To do this, you could use your existing account or create a test account (via Volunteerism > Users or general registration) with an @example.com email address and then respond to the opportunity. 


The test account would receive the "Need Response Thank You" notification and any notifications afterwards (depending on timing) associated with that opportunity. If you did not use a real email, you can navigate to the User’s notifications area to review email content, logged in as that user. This will give you a good idea of what the emails will look like on their end!
