This article pertains to site managers of Get Connected, Corporate Connect, Campus Connect, and Community Connect sites.

Your site manager panel provides many opportunities to export data to a spreadsheet. In fact, the data within most of the tables in your site manager panel can be exported. This article is a quick guide to where you can find the exports most commonly used by our site managers. They're grouped into the following categories:

A Note about the User Filter

The user filter is an excellent resource for exporting user data, whether for agency/program managers or volunteers. This article provides a number of filter options to generating data. When using the user filter, it's important to understand the following steps to access it:

  1. From your site manager panel, go to Volunteerism > Users.
  2. Click User Filter to open the user filter.
  3. Run a filter for the data you wish to export. (See following sections for guidance.)
  4. From the Select an Action dropdown, select Export Users.
  5. Click Export Current User List.
  6. Enter the email address where you would like the export sent and click Email Export.

Note: All user and volunteer hour export are emailed rather than generated automatically.

A Note about Reports

Your reports area is located in the top right-hand area of your site manager panel.

Reports are grouped into several sections, including agencies, needs, and users. This area also includes the Data Explorer, which is useful for creating simple custom reports on your own.

When viewing most reports, you can specify a date range. When you are ready to export a report, click the Export icon.

Note that some reports will include more information than appears on your screen.

Agency/Program Exports

You can view and export agency-related data from three main places in your site manager panel:

  • Your Manage Agencies/Programs area
  • The user filter (both in your Manage Users area and the Email Blast)
  • Your Reports area

Manage Agencies/Program Area Export

From this area, you can export your site's agency/program profile data (including name, primary manager, date added, address, and any other profile information that has been entered). To access this export:

  1. From your site manager panel, go to Volunteerism > Agencies (or Volunteerism > Programs for Community Connect Sites).
  2. Click the Export Agencies button near the top of the page.

The export will open as a .csv file.

Note: By default, the export includes all agencies on your site.

User Filter Exports

The table below lists the filters you can use to access different types of agency information. Note that "Program" may replace the word "Agency" on your site if you are a Community Connect user.

To access and export ...
Use this filter:
All agency or program managers
Volunteer > Agency Manager > is an Agency Manager. (Select is not an Agency Manager to export all users who are not agency managers.)
All agency or program fans
Volunteer > Agency Fan > is a fan of > [Select agency or program.]
Agency or program managers whose posted needs have responses by volunteers within a selected user group
Agency > User Groups > has responses by group > [Select user group.]
Agency or program managers who added a need before, after, or on a selected date
Agency > Date New Need Added > after > [Select date.]
Agency > Date New Need Added > before > [Select date.]
Agency > Date New Need Added > on > [Select date.]

Managers of agencies that have been identified as partner agencies
Agency > Partner Status > is partner. (Select is not partner to export all agency managers who are not associated with partner agencies.)
Managers of agencies or programs that have used a selected initiative
Agency > Initiatives > has used initiative > [Select initiative.]
Managers of agencies or programs that are associated with a selected cause
Agency > Causes > has cause > [Select cause.]
Managers of agencies or programs that have participated in a selected service-learning block (SLM clients only)
Service Learning > Agency Managers > Participated in > [Select block.]


Agency Reports

The Reports area of your site manager panel includes the following agency reports, all of which are exportable:

  • Agency Summary
  • Agencies Added
  • Agencies Viewed
  • Agency Activity

Need/Opportunity Exports

You can view and export need-related data from two main places in your site manager panel:

  • Your Manage Needs/Opportunities area
  • Your Reports area

Manage Needs/Opportunities Area Exports

From this area, you can export your site's need/opportunity and shift data (including need title, posting agency/program, need description, duration times, etc. To access this export:

  1. From your site manager panel, go to Volunteerism > Needs (or Volunteerism > Opportunities for Community Connect Sites).
  2. To export needs, click the Export Needs button near the top of the page. To export shifts, click Export Shifts.

The export will open as a .csv file.

Note: By default, the export includes all needs on your site.

Need Reports

The Reports area of your site manager panel includes the following need-related reports, all of which are exportable:

  • Need Summary 
  • Needs Added
  • Needs Added By Interest
  • Needs Viewed
  • Needs Added By Week
  • Needs Added By Weekday
  • Volunteer Hours By Interest
  • Initiative Summary

Need Response Exports

You can view and export need-response data from three main places in your site manager panel:

  • Your Manage Responses area
  • The user filter (both in your Manage Users area and the Email Blast)
  • Your Reports area

Manage Responses Area Export

From this area, you can export your site's need/opportunity and shift data (including need title, posting agency/program, need description, duration times, etc. To access this export:

  1. From your site manager panel, go to Volunteerism > Responses.
  2. To export responses, click the Export Responses button near the top of the page.

The export will open as a .csv file.

Note: By default, the export includes all responses on your site.

User Filter Exports

The table below lists the filters you can use to access different types of need or opportunity response. Note that "Opportunity" may replace the word "need" on your site if you are a Community Connect user.

To access and export ...
Use this filter:
All volunteers who responded to a selected need
Volunteer > Need Responses > has responded to > [Select need.]
Volunteers by number of need responses
Volunteer > User Need Response > Greater than > [Enter number.]
Volunteer > User Need Response > Less than > [Enter number.]
Volunteer > User Need Response > Is equal to > [Enter number.]
Volunteers who have responded to a need within a selected advanced-event (AEM only)
Volunteer > Advanced Event > has respond to > [Select advanced event.]
Volunteers who responded to a need within a selected initiative
Volunteer > Initiative > has participated in > [Select initiative.]


Response Reports

The Reports area of your site manager panel includes the following need-related reports, all of which are exportable:

  • Need Responses Submitted by Agency
  • Need Responses Submitted By Interest
  • Need Responses By Initiative
  • Today's Shifts
  • Shift Attendance
  • Top 50 Volunteers
  • Repeat Volunteerism Totals
  • Repeat Volunteerism User List

Volunteer Hour Exports

You can view and export hours-related data from three main places in your site manager panel:

  • Your Manage Hours area
  • The user filter (both in your Manage Users area and the Email Blast)
  • Your Reports area

Manage Hours Area Exports

From this area, you can export your site's need/opportunity and shift data (including need title, posting agency/program, need description, duration times, etc. To access this export:

  1. From your site manager panel, go to Volunteerism > Hours.
  2. To export hours, click the Export Hours button near the top of the page.

The export will open as a .csv file.

Note: By default, the export includes all responses on your site.

User Filter Exports

You can use the user filter to get a list of your volunteers who have logged a certain number of hours. You can also get a list of which users have met certain benchmarks on your site.

To access and export ...
Use this filter:
All volunteers who have logged a certain number of hours
Volunteer > Volunteer Hours > Greater than > [Enter number.]
All volunteers who have met a selected benchmark
Benchmark > Has received > [Select benchmark.]


Hour Reports

The Reports area of your site manager panel includes the following need-related reports, all of which are exportable:

  • Hours By Favorite Agency 
  • Volunteer Hours Logged
  • Details of Individual Hours
  • Volunteer Hours Summary
  • Volunteer Hours by Category
  • Hours by User Group

User Exports

Your Connect site offers a wealth of avenues for viewing and exporting user data. Some of them have been covered above, in reference to agencies, needs, responses, and hours. Most user data can be viewed and exported from two main areas:

  • The user filter (located in both the Manage Users area and the Email Blast)
  • Your Reports area

User Filter Exports

You can use the user filter to get a list of your volunteers who have logged a certain number of hours. You can also get a list of which users have met certain benchmarks on your site.

Tip: If you're using Constant Contact, Mailchimp, or another service to email your site's users directly, you can use some of these exports to generate your email recipient list.

To access and export (or email, when using the Email Blast) ...
Use this filter:
All users with a specified email domain (useful for adding company employees to a user group)
User Data > Email Address > ends with > [type domain]
All users with a specified tag (useful for emailing users with custom tags)
User Data > User Tag > is > [Select tag.]
All users with a particular skill or interest
User Data > User Causes > [Select cause.]
User Data > User Interests > [Select interest.]
All users within an age range
User Data > Date of Birth > after > [Select date.]
User Data > Date of Birth > before > [Select date.]

Users filtered by when they joined your site

Note: To filter by users who have not entered a company in their profile, filter by User Data > Company > is empty..

Users who belong to a user group

Users who may not be receiving your site's notifications
User Data > User email status > [Select status.] Statuses are has bounced or dropped, has been marked as spam, and opted out of notifications.
All users who are site managers
User Data > User Type > is > Manager
All users who are agency managers
Volunteer > Agency Manager > is an agency manager.
All users who have met a selected benchmark
User Data > Benchmark > has achieved > [Select benchmark.]
Users who wish to be notified in case of disaster
User Data > Disaster Notification > volunteers who wish to be notified
Users filtered by status (active, inactive, imported, pending)
User Data > User Status > [Select status.]

Note: Select the Imported status when you are ready to activate your imported users.

Users who have met a selected qualification
Volunteer > Qualification > has been approved for > [Select qualification.]


User Reports

The Reports area of your site manager panel includes the following need-related reports, all of which are exportable:

  • New Users Added
  • Users By Zip Code
  • Time from Registration to Response
  • Top 50 Visitors
  • Users Joined By Week
  • Users Joined By Weekday
  • User Qualification Summary

User Group Exports

Your Manage User Groups area does not include functionality for exporting user group data. You can, however, view and export user-group data from the user filters and your Reports area,

User Filter Exports

Most exports of user data, responses, and hours include associated user-group information. You can also use the user filter to get a list of your volunteers who who are associated with user groups, or who would good candidates for user groups. In addition, you can also get a list of which users have met certain benchmarks on your site.

To access and export (or email, when using the Email Blast) ...
Use this filter:
All users with a specified email domain (useful for adding company employees to a user group)
User Data > Email Address > ends with > [type domain]
Users who are associated with a company (useful for creating corporate-based user groups)
User Data > Company > contains > [Enter part of the company name.]
