E-Mail for Volunteer Registration

Currently each volunteer must have a unique e-mail address.  This is a poor programming method.  The unique field for each registration should be the User ID. Many families share an e-mail address.  Currently only one family member may register as a volunteer.  Using individual e-mail addresses don't allow parents to monitor the e-mails sent to each family member.

I agree with this that this is an issue. If support has any recommendations on how to avoid this issue when families share email addresses that would be great. Especially when it comes minor volunteers. The system is a bit overcomplicated in my opinion for families with minors.

Thank you for your thoughts on this! I have added this suggestion to our notes. This would be a major lift in the software considering how it currently works with email addresses. Although many major software and platforms utilize a similar structure, I understand the desire for this type of workflow with the nature of family volunteerism.


In the meantime, I have a couple of alternative solutions you can consider if this pops up:

  • You can utilize an @example.com email address for those folks or minors that do not have a personal email address. The software accepts these, and while they would not get email notifications, those messages are still accessible to read in their Inbox area once logged in. Mainly, for this workflow a site manager would need to create their password for them (we recommend using something simple like "changeme") and provide it to them, along with their fake email, so they can log in for the first time.
  • For families with minors without an email or need for an additional user account, they can always sign up as a team with additional reserved slots for their minors. When logging their hours, they can add them as plus-one hours. This way, data can still be collected for knowing how many folks are coming in and those that worked hours.
